Frequently Asked Questions. Please review these before contacting us.

General Administration

Q. Is advance registration required to attend the conference?
A. Yes, advance registration is required in principle. The deadline for advance registration is February 13 (Friday). Registration will still be possible under the regular registration category from February 16 (Monday), but please note that the fee will differ.
Q. Is on-site registration available?
A. Yes, but the regular registration fee will apply. Please check the conference website for details.
Q. When is the deadline for advance registration?
A. February 13 (Friday). Please note that the deadline for presentation submission is January 23 (Friday).
Q. Can I modify my registration details after registering?
A. Basic registration information cannot be modified. However, presentation information can be edited until January 23 (Friday).
Q. Can I cancel my registration?
A. Yes, cancellation is possible, but the registration fee is non-refundable.
Q. I did not receive a registration confirmation email.
A. Please check your spam folder or other email inboxes. If you still cannot find it, contact the conference secretariat at jsfs(at)gakkai-web.net.
Q. I forgot my ID or password.
A. Please use the “Forgot your password?” link on your My Page to reset it.
Q. Do presenters need to be members of the society?
A. Presenters in oral and general poster sessions must be members of the society. Non-members may present only in the SDGs session.
Q. Can non-members be co-authors?
A. Yes.
Q. Is there a limit on the number of presentations per person?
A. Yes, up to two presentations.
Q. Will name badges be mailed in advance?
A. No. Please print your badge from My Page and bring it with you. If you forget, you may fill out a blank badge at the reception desk.
Q. Is photography allowed at the venue?
A. Photography without the presenter’s permission is prohibited (Conference Regulation Article 7).
Q. Is audio or video recording allowed?
A. Audio or video recording without the presenter’s permission is prohibited (Conference Regulation Article 7).
Q. Can group photos be taken?
A. Yes, but please ensure that presentation content is not captured without the presenter’s consent.
Q. Are there any requirements regarding presentation language?
A. Presentations in the General Sessions (oral and poster) may be given either in Japanese or English. The SDGs Session is conducted entirely in English.

Accounting

Q. How can I pay if I register on-site?
A. Payment is by credit card only. Please register via the conference website and present the credit card payment confirmation email at the reception desk.
Q. What payment methods are available?
A. During the advance registration period, payment can be made by credit card or bank transfer. During the regular registration period, payment is generally by credit card only. If you wish to pay by bank transfer during regular registration, please contact the conference secretariat.
Q. Can I pay in cash
A. No, cash payments are not accepted.
Q. I paid the registration fee twice.
A. Please contact the conference secretariat. We will confirm and respond accordingly.
Q. Is a refund available?
A. No refunds are available.
Q. Can I get a receipt?
A. Yes, receipts can be issued from My Page.
Q. Can the name on the receipt be changed?
A. Yes. Please contact the conference secretariat.

Childcare

Q. Is there a space for breastfeeding or diaper changing?
A. Yes. The Penguin Room (2nd floor of Shirotaka Hall, inside Office Uminami) is available from 9:00 to 16:00.
Q. Is childcare service available?
A. Yes. Please apply via the conference website by February 13 (Friday). The application form is linked under “Conference Information > 6. Breastfeeding/Diaper Changing Space and Childcare.”
Q. Can strollers be stored?
A. No, stroller storage is not available

High School Students

Q. Do high school students need to register?
A. Yes. Please register via the “Information for High School Student Presentations” page on the website. websiteHere
Q. How much is the participation fee?
A. Participation is free for high school students and their supervising teachers.
Q. Do supervising teachers need to register?
A. Yes. There is a section to register supervising teacher information when applying for high school student presentations.
Q. What if the supervising teacher and accompanying teacher are different?
A. The accompanying teacher must register. Please inform the high school presentation coordinator of the school name, accompanying teacher’s name, student names, and contact email address. email address:jsfs2026-hs-group(at)g.ecc.u-tokyo.ac.jp
Q. Can family members of high school students attend?
A. Yes, but they will be treated as general participants and must register and pay the participation fee via the conference website.

Q. What is the presentation format?
A. Poster presentation.
Q. Will there be an award ceremony?
A. Yes. An award ceremony for selected schools is scheduled on March 28 (Saturday) from 13:30 to 14:30.
Q. Is travel support available?
A. Partial travel support is planned for one presenting student per school. Details will be announced later.
Q. Can high school students who are not authors attend?
A. Yes. Up to three students per school may attend free of charge. Registration is required.
Q. Can high school students and teachers attend general sessions?
A. Yes, presenting students and supervising teachers may attend general sessions and symposia, but they may not ask questions.
Q. Is photography of high school presentations allowed?
A. Photography is generally prohibited unless permission is obtained from the presenter.

Reception

Q. When will the reception be held?
A. March 27 (Friday) from 18:00.
Q. Where is the venue?
A. The campus cafeteria at Tokyo University of Marine Science and Technology, Shinagawa Campus.
Q. Can I register for the reception on the day?
A. No. Advance registration is required.
Q. Is there a capacity limit?
A. Yes, 150 participants.
Q. Can I get a refund if I cannot attend?
A. No refunds are available.

Other

Q. Will invitation letters be issued?
A. Invitation letters are not issued for general participants.
Q. Will certificates of participation be issued?
A. Certificates are available only for SDGs session participants after payment is completed.
Q. Can a Letter of Acceptance be issued?
A. Letters of Acceptance are not issued. Acceptance can be confirmed via the program published on the website.
Q. Are travel grants available?
A. No. This conference does not offer travel funding for general participants, including students.
