    Payment of the event participation fee is by credit card (online payment) only.

  3. Regarding Cancellations (lecture applications)
    1. Cancellation Procedures
      Please send an email to the contact address listed in the “Notice of Provisional Acceptance” and “Notice of Payment” to make the request of cancellation.
    2. Cancellation Fees
      【Audience Members】
      1. Cancellation notices received 8 days before the first day of Annual Congress, or earlier, are not subject to cancellation fees. If payment has already been submitted, it will be refunded, minus a transfer fee.
      2. Any cancellations received 7 days before the first day of Annual Congress, or later will be charged the full registration price as a cancellation fee, regardless of attendance. If no notification of cancellation is given, the full registration fee will be charged.
      【Lecturers and Presenters】
      1. Cancellation notices received on or before the payment due date are not subject to cancellation fees. If payment has already been submitted, it will be refunded, minus a transfer fee. Failure to submit payment will result in an automatic withdrawal of the lecture.
      2. After the payment due date, any cancellations will be charged the full registration price as a cancellation fee, regardless of attendance. If no notification of cancellation is given, the full registration fee will be charged.
  4. Disclaimer
    1. Cancellation of the event
      Our events may be cancelled without notice, if there is an avoidable reason such as the difficulty in using the facility, the Self-restraint request about the event from the government and administrative organs, and the insufficient number of participants.
    2. Change of the event program
      If there is an avoidable reason such as the difficulty in using the facility, the delay of the presentation, and the change of the presenter, the presentation place, the presenter, and the event program may be changed without notice. Also, if the presenter is absent, that presentation is canceled without notice.
    3. Restrictions such as recording
      We prohibit audiences from recording the presentation doing similar acts. However authorized press is permitted to record with the consent of the presenter.
    4. Exclusion order
      If you do prohibited acts, nuisances to other audiences, or acts which hinder smooth operations of our events, or if there is a fear for your doing such behaviors, we may require you to leave the venue.
    5. Liability
      We will not be liable for any damages of audiences caused by a cancellation of the event or the presentation, a change of the event program, an illegal recording, equipment failure, exclusion order, and so on. However, if the cancellation of the event is decided before the beginning of it, we will refund the participation fee to the audience who is a pre-participation applicant and has already paid the participation fee.
  5. Regarding the Handling of Personal Information
    The Society of Automotive Engineers of Japan, Inc. (referred to herein as The Society) will use any information such as one’s telephone number, address, or names (referred to herein as “personal information”) as follows:
    1. Regarding the Use of Personal Information
      Personal information from registration will be used for the following purposes only:
      1. Necessary contact to event participants for planning and confirmation
      2. Registration fee (participant and person in charge of paying the fee)
      3. Creating a list of enrolled registrants
      4. Requests or notices relating to activities by the Society (lectures, events, publication and sales business, student business, professional development business, committee business, and membership business)
    2. Regarding Outsourcing
      For the purposes of this event, the Society has entrusted the management to skilled subcontractors. These contractors are also signed to confidentiality agreements and are dealt with under strict supervision.

    3. Regarding Required Registration Items
      In the registration form, there are both mandatory and optional items. If you fail to submit any mandatory items, you will be unable to complete registration. Optional items have no effect on your registration submission.
    4. Regarding Disclosure of, Corrections to, and Disposal of Personal Information
      If you desire disclosure of, corrections to, or disposal of your personal information, please contact the Society using the information below. It should be noted that the disposal of personal information does take some time, though the utmost will be done to ensure speed and safety.
