Visa

Based on the New Border measures (27), from 0:00 am (JST) on March 1, 2022, new entry of foreign nationals into Japan under the supervision of receiving organizations is allowed, except for those for touristic purposes.
However, The ERFS application will only be accepted from organizations that have the Japanese legal registered-organization number. As the PPS-37 Organizing Committee is a voluntary organization for international academic conferences and not for business, the Committee is not able to apply for the ERFS. Therefore, we cannot help for the VISA application because of above reason.

Issuance of Invoice
If you need an invoice for the approval of payment, kindly send an email to PPS-37 Registration Desk (pps37-regist@or.knt.co.jp).
Kindly proceed with registration to PPS-37 before sending us your inquiry email because registration number is needed for the issuance of the invoice.
Please inform us of the details if there is any necessary information to be included in the invoice.
(For example, affiliation’s full name, affiliation’s full address, tax number/Tax ID, VAT number, etc.)

Issuance of Receipt
After the payment is completed, registrant will be able to download the receipt on “My page” of the registration system from March 7th, 2022.
(We do not accept requests of receipt issuance via email or postal mail.)

For registrant who paid for accommodation fee, kindly note that the receipt of accommodation fee will be given to you at the registration desk onsite.


Cancellation Policy

Cancellation requests for registration, banquet and accommodation should be submitted via email to KNT by e-mail (pps37-regist@or.knt.co.jp).
The date and time of the change and cancellation will be based on the working hours (Mon - Fri 09:30-17:00 [JST] except national holidays).
(Kindly note that Registration Desk will be closed from December 25thth, 2021 (Sat) to January 3rd, 2022 (Mon) due to New Year Holiday in Japan.)
After working hours, cancellation will be made on the next working day, which may incur charges.

*Cancellation Policy for Registration
Before and on February 28th 2022: 75% refund
On and after March 1st 2022: no refund

Switch of your status is possible until March 25th, 2022.
A person who registered for 'online' can upgrade to 'in-person' (onsite) by paying the fee difference.
A person who registered for 'in-person' can switch to 'online' by paying JPY6,000 as the commission fee. The fee difference remaining will be refunded.

If there is any changes on your account and registration before payment, please login to “My Page” and modify it by yourself.
Switch of registration status from “In person” to “Online” and cancellation after payment, please send us inquiry email (pps37-regist@or.knt.co.jp) with your registration number in the e-mail subject.  


*Cancellation Policy for Accommodation  
21 days before the night of stay No charge
20 to 8 days before the night of stay 20% of accommodation charge
7 to 2 days before the night of stay 30% of accommodation charge
1 day prior before the night of stay 40 % of accommodation charge
On the reserved day (before hotel’s check-in time) 50% of accommodation charge
On the reserved day (after hotel’s check-in time) 100% of accommodation charge
Cancellation without notice (No-show) 100% of accommodation charge / No Refund

Refund

For change or cancellation of your registration, please contact PPS-37 Registration Desk (pps37-regist@or.knt.co.jp) with your name and Registration Number.
Refunds will be made after April 1st, 2022 upon deducting bank transfer fees, and/or credit card service charges, and the cancellation penalties.
If payment was made by credit card, refund will be made to the same credit card.
If the payment was made by bank transfer, please inform us of your bank account by email.
