  6. Basically, the hotel will prepare the group dinner for MR2023. Therefore, you are expected to arrive before dinner time. You might miss dinner if you check in late on your arrival day.
    Dinner for Jun 25 will start at 19:00pm. For vegetarian, please arrive in time at 19:00pm for dinner. For participation who do not have any dietary requirement, if you can't make it in time for dinner, a separate set menu is available until 21:30pm.
  7. Please contact the MR2023 registration desk (mr2023-regist@or.knt.co.jp) if your flight delay or arrival schedule is changed.
  8. Room equipment: Bathroom and toilet.
    Amenities in the room: Slippers, face towel, bath towel, rinse in shampoo, body soap, tea (tea pack)
    * Other amenities (toothbrushes, cotton pads, razors, hairbrushes, hair ties, cotton swabs) are available in the lobby on the 1st floor. Please select and pick your own need.
  9. The above rates are valid only during the period of MR2023 Workshop (Jun 26 - 29, 2023). Accommodation on dates other than the listed date on the registration system can be requested but cannot be guaranteed at the same rate. If you would like to stay before/after the conference, please send inquiry email to the MR2023 Registration desk.
  10. Hotel reservations are made on a first-come-first-serve basis. Please note that rooms may be sold out before application deadline of 17:00 on May 26 (Fri), 2023.
  11. Please notify KNT if you expect to arrive at your hotel at 22:00 [JST = GMT+9] or later to avoid cancellation of reservation.
  12. Car parking permit is not included. If needed, please contact the hotel directly.
  13. Please write your request in the "Remarks" field or send an email MR2023 Registration desk if you have smoking or non-smoking room request. Your request will be forwarded to the hotel. However, please kindly understand that smoking/non-smoking rooms might not be provided to you due to limited room vacancy.

  • You are the presenter / author / co-author of an abstract / paper.
  • You have completed the online registration.
  • Your registration fee and visa application support fee has been paid.

* Please note that if any of above requirements is not met, the visa support application cannot be accepted.
The following documents will be issued to the applicants who has meet all of the above conditions:

  • Letter of guarantee
  • Letter of reason for invitation
  • Schedule of stay

* This deadline does not guarantee the approval of Visa.

* Please note that fee is generally non-refundable.

* Fees to be paid to the Japanese Embassy or Consulate for visa application and issuance, transportation and communication expenses are on applicant's account.

Issuance of Receipt

Receipt for registration fee and accommodation will be given to the attendee at the reception desk onsite while picking up name holder and conference kit.

Change / Cancellation / Refund Policy

  • In the case of change and cancellation requests for registration and/or accommodation, they should be submitted via email to the MR2023 Registration desk by email (mr2023-regist @or.knt.co.jp).
  • The date and time of the change and cancellation will be based on the working hours (Mon - Fri 10:00-17:00 [JST = GMT+9] except national holidays).
  • After working hours, cancellation will be made on the next working day, which may incur charges.

Refund

  • Refunds will be made after the conference upon deducting bank transfer fees (JPY6,500), and/or credit card handling fee (JPY1,000), as well as the cancellation penalties.
  • If payment was made by credit card, refund will be made to the same credit card.
  • Due to the system setting, only full-amount refund is available. If any partial refund should be made for change / cancellation, the registration desk will firstly make a full-amount of refund to the registered credit card and charge the amount after deducting change or cancellation penalty.
  • If the refund has to be made by bank transfer due to credit card issue, please inform us of your bank account by email.
  • Please note that the transaction charge for the refund will be on applicant’s account.

MR2023 liability limitation

  • In the event of an industrial disruption or natural disaster, the 2023 US-Japan Workshop on Magnetic Reconnection (MR2023), the organizing committee, management and service providers, and supporting organizations do not accept responsibility for any financial or other losses incurred by exhibitor companies, personnel, and conference delegates (further indicated as participants), nor for injury or damage to persons or property occurring during or related to the MR2023 in Ise Shima, Japan. All insurance, including medical cover, or expenses incurred in the event of the cancellation of MR2023 are the responsibility of the participant.
  • Participants are encouraged to choose a travel insurance policy that includes loss of fees/deposits through cancellation of your participation in MR2023, or through the MR2023 itself; loss of airfares for any reason; medical expenses; loss or damage to personal property; additional expenses; and repatriation should travel arrangements have to be altered. MR2023, the organizing committee, management and service providers, and supporting organizations will take no responsibility for any participant's failure to insure.
  • In addition, the MR2023 organizing committee has no responsibility in the case you are not able to attend the MR2023 due to the positive results of COVID-19 tests.
