**Please note in advance that the registration will be closed when the registrants reach 70. Due to the limited number of registrations, we recommend that you complete your registration as soon as possible in February. If more than 70 people have registered, there is a possibility that even if you can register on the system, you will not be registered and will be refunded.

A block of rooms at neighboring hotels has been secured for the symposium attendees and can be reserved via the registration system. Please check the information for the Hotel Accommodation.

Notes

  1. All room rates are per room per night, including breakfast, service charge, accommodation tax and consumption tax.
  2. Services not included in room rate: charges and expenses other than those specified in article 1, such as personal expenses (e.g. laundry, telephone, additional meals, drinks, etc.), travel and accommodation costs to and from the above hotels.
    *Any additional expenses incurred during your stay should be settled individually with the hotel by cash or credit card.
  3. Room equipment: bathroom and toilet.
  4. The above rates are valid only during the period of the SPIN CALORITRONICS XII (May 21-25, 2023 [JST = UTC+9]).
    Accommodation on dates other than the listed date on the registration system can be requested but cannot be guaranteed at the same rate. If you would like to stay before/after the conference, please send an inquiry by e-mail to the SPIN CALORITRONICS XII Registration Desk (sc12-regist@or.knt.co.jp).
  5. Hotel reservations are made on a first-come-first-serve basis. Please note that rooms may be sold out before the application deadline of noon on Mar 17 (Fri), 2023 [JST = UTC+9].
  6. Please notify KNT in advance if you expect to arrive at your hotel later than at 22:00 [JST = UTC+9] to avoid cancellation of the reservation.
    Kindly note that inquiries received outside of working hours will be informed to the hotel on the next working day.

  7. The car parking permit charge is not included. If needed, please contact the hotel directly.
  8. Please submit any request such as smoking or non-smoking room via the "Remarks" field or send an e-mail to the SPIN CALORITRONICS XII Registration Desk (sc12-regist@or.knt.co.jp). Your request will be forwarded to the hotel. However, please kindly understand we may not be able to meet all requests due to the limited availability of rooms.
  9. The total amount of room charge must be paid in advance to complete your hotel reservation.

Change / Cancellation / Refund Policy

Please implement any changes or cancellations to your account, please send an inquiry to the SPIN CALORITRONICS XII Registration Desk (sc12-regist@or.knt.co.jp) with your registration number in the e-mail subject.
Kindly note in advance that the handling fee for changes or cancellation the responsibility of the registrant.
The date and time of the change and cancellation charges will be based on the working hours (Mon - Fri 10:00-17:00 [JST = UTC+9] except national holidays).
(Kindly note that Registration Desk will be closed on Feb. 23, Mar. 21 and Apr. 27 - May 5 due to the National Holidays in Japan.) After working hours, change/cancellation will be made on the next working day, which may incur charges.

Refund

-Refunds will be made during or after the workshop upon deducting bank transfer fees (JPY 6,500), and/or credit card service charges (JPY 500), as well as the cancellation penalties.
-If the payment has been made by credit card, the refund will be made to the same credit card.
-If the payment has been made by bank transfer, please inform us of your bank account details by e-mail again.

Visa Application Support

*Please note that fee is generally non-refundable.

-Kindly note that the Visa Application Support will start in March as the period of validity of the single-entry visa is three months.

-Invited Speakers are requested to upload an abstract of their talks.
-Regular and student participants can upload an abstract if they wish to give a poster presentation during the workshop.

Remarks (for Poster Presenters):

1. The maximum number of poster presentations will be approximately 40.
If more than 40 applications are received, a review process may be conducted.
2. Poster size should be A0-size portrait (841mm×1189mm) or less.
